CCVillage LLC, doing business as Child Care Coach (“Child Care Coach,” “we,” “us,” or “our”), respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit ChildCareCoach.com, create an account, purchase or use a membership or product, participate in the Child Care Coach online community, attend a training or live session, subscribe to communications, participate in a referral or affiliate program, or otherwise interact with us (collectively, the “Service”).

This Privacy Policy should be read together with our Terms of Service and, when applicable, our Community Guidelines and Affiliate Program Terms.

The information we collect depends on how you interact with Child Care Coach.

Information You Provide

We may collect information you provide directly, including:

• your name, email address, telephone number, mailing or shipping address, and other contact information;
• your username, password, account preferences, membership status, and account activity;
• the name, type, location, and other details of your child care program or organization;
• purchase, subscription, renewal, cancellation, refund, and transaction information;
• messages, support requests, survey responses, testimonials, and other communications;
• newsletter and marketing preferences;
• community posts, comments, questions, profile information, photographs, files, and other content you choose to submit;
• registration information and contributions made during coaching calls, workshops, question-and-answer sessions, or other events; and
• referral or affiliate information, including referral links, referred registrations or purchases, commission records, and information needed to issue payments.

Payment Information

Payments are processed by Stripe or another payment processor identified at checkout. The payment processor collects and processes payment-card and related billing information under its own privacy terms. Child Care Coach generally receives transaction details such as the purchaser’s name, email address, billing status, amount paid, payment date, subscription status, and limited payment-method information, but not the complete payment-card number.

Information Collected Automatically

When you use the website or Service, we and our service providers may automatically collect information such as:

• internet protocol address;
• browser type, device type, operating system, and general device information;
• referring and exit pages;
• pages viewed, links clicked, features used, and dates and times of activity;
• approximate location derived from an internet protocol address;
• login, account, and security activity; and
• cookie identifiers and similar technical information.

We use Google Analytics to help us understand website traffic and how visitors use the site. Google Analytics may collect information through cookies and similar technologies in accordance with Google’s privacy practices.

Information From Other Sources

We may receive information from services used to operate Child Care Coach, including MemberPress, Stripe, Mailchimp, Constant Contact, Skool, SiteGround, Google Analytics, and other providers you choose to interact with through the Service. We may also receive referral information from affiliates, agencies, or other people who direct you to Child Care Coach.

We may use personal information to:

• create, authenticate, maintain, and secure accounts;
• provide memberships, digital resources, physical products, community access, workshops, coaching, and other requested services;
• process payments, renewals, refunds, cancellations, shipments, and affiliate commissions;
• manage membership eligibility and access to particular resources or benefits;
• respond to questions, requests, and support needs;
• send account, transaction, billing, security, service, and policy communications;
• send newsletters, announcements, promotions, and other marketing communications when permitted;
• personalize and improve the website, resources, training, community, and member experience;
• understand website use, membership activity, and the effectiveness of our communications;
• administer surveys, promotions, referrals, affiliate programs, rewards, and community features;
• moderate the community and enforce our Terms of Service, Community Guidelines, and other agreements;
• detect, investigate, and prevent fraud, account sharing, misuse, security incidents, and other harmful activity;
• maintain business, tax, accounting, transaction, and compliance records;
• establish, exercise, or defend legal rights; and
• comply with applicable requirements and lawful requests.

We may combine information collected through different parts of the Service when reasonably necessary for these purposes.

Child Care Coach uses third-party email and marketing service providers to manage mailing lists and send newsletters, announcements, educational content, and promotional communications. These providers may process and store subscriber information on our behalf.

You may unsubscribe from marketing emails at any time by using the unsubscribe link in the message. Unsubscribing from marketing does not prevent us from sending necessary account, purchase, membership, billing, security, or service-related communications.

Child Care Coach and its service providers may use cookies and similar technologies to:

• keep the website and member accounts functioning;
• remember preferences and login status;
• maintain security and prevent misuse;
• process purchases and membership access;
• recognize referral or affiliate activity; and
• measure website traffic and usage through Google Analytics.

Some cookies are necessary for the website and membership functions to operate. Other cookies support analytics or preferences. You may control cookies through available website settings or your browser settings. Blocking certain cookies may prevent parts of the Service from working correctly.

Child Care Coach does not use personal information for cross-context behavioral advertising and does not sell personal information.

We may disclose personal information in the following circumstances.

Service Providers

We use companies and platforms that process information on our behalf to help operate the Service. These may include:

• SiteGround and WordPress-related providers for website hosting and operation;
• MemberPress for membership registration, management, and access;
• Stripe and other payment providers for transactions and recurring billing;
• Mailchimp and Constant Contact for email-list management and communications;
• Skool for community participation, community profiles, events, and related features;
• Google Analytics for website measurement and analytics;
• shipping, printing, fulfillment, file-storage, video, conferencing, bookkeeping, accounting, and customer-support providers; and
• professional advisers and contractors who require access to perform services for Child Care Coach.

These providers may process information only as permitted by their agreements with us and their own applicable privacy terms.

Some service providers may process or store personal information in the United States or other countries where they operate. Information processed outside your country may be subject to the laws and lawful-access requirements of those jurisdictions.

Community and Interactive Features

Information you choose to include in a community profile, post, comment, live-session contribution, or other interactive area may be visible to other people who have access to that area. The audience will depend on the privacy and access settings of the particular community, event, course, or feature.

Do not post information about a child, family, employee, or other person unless you have permission and are authorized to disclose it.

Referrals and Affiliate Programs

If you use an affiliate or referral link, limited information about a registration or qualifying purchase may be associated with the referring participant so that Child Care Coach can track the referral and administer commissions or rewards. We do not provide affiliates with your full payment-card information or account password.

Legal, Safety, and Business Purposes

We may disclose information when we reasonably believe it is necessary to:

• comply with applicable law, legal process, or a lawful government request;
• enforce our agreements or protect our rights and property;
• protect the security or integrity of the Service;
• prevent or investigate fraud, misuse, or harmful conduct; or
• protect the rights, safety, or property of Child Care Coach, our members, or others.

If Child Care Coach or CCVillage LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, or transfer of all or part of the business, information may be disclosed or transferred as part of that transaction, subject to appropriate protections.

Child Care Coach does not sell personal information. We also do not disclose personal information to third parties for cross-context behavioral advertising.

We disclose information to service providers for the business purposes described in this Privacy Policy, including hosting, payment processing, membership administration, email delivery, analytics, community operation, fulfillment, and support.

The Service is intended for adult child care providers, educators, agency personnel, and other adult users. It is not directed to children, and children are not permitted to create accounts or purchase memberships.

Child Care Coach does not knowingly collect personal information directly from children through child-created accounts. Members should not submit names, photographs, records, health information, educational information, or other identifying information about a child unless they have all permissions required to do so and the disclosure is appropriate for the feature being used.

If you believe personal information about a child has been submitted improperly, contact us at support@childcarecoach.com so that we can review the matter.

Coaching calls, workshops, question-and-answer sessions, and other live events may be recorded. When a session is being recorded, notice will be provided through the event description, an announcement, or the recording indicator used by the applicable platform.

A recording may include your display name, profile image, voice, video, chat messages, questions, screen content, or other information you choose to contribute. Recorded sessions may be made available to people with access to the relevant membership, course, program, or community area.

We retain personal information for as long as reasonably necessary to provide the Service, maintain accounts, administer memberships and purchases, fulfill the purposes described in this Privacy Policy, and meet business, tax, accounting, security, dispute-resolution, and other applicable requirements.

Retention periods vary according to the type of information and why it was collected. For example:

• account information may be retained while an account remains active and for a reasonable period afterward;
• transaction, tax, payment, and affiliate records may be retained for the periods required for financial and business recordkeeping;
• marketing information may be retained until you unsubscribe or request deletion, subject to limited suppression records needed to honor the request;
• community content may remain available until deleted by you or Child Care Coach, subject to platform functionality, moderation needs, backups, and legal obligations; and
• backup copies may remain for a limited period after information is removed from active systems.

We may retain de-identified or aggregated information that can no longer reasonably identify you.

Child Care Coach uses reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. We also use established service providers for website hosting, membership management, payment processing, email delivery, and community operation.

No system or method of electronic transmission or storage can be guaranteed to be completely secure. You are responsible for using a strong password, safeguarding your login credentials, and notifying us promptly of suspected unauthorized account activity.

Depending on where you live and the law applicable to your information, you may have the right to:

• request access to personal information we hold about you;
• request correction of inaccurate or incomplete information;
• request deletion of personal information, subject to applicable exceptions;
• withdraw consent where processing is based on consent;
• object to or request restriction of certain uses;
• request information about the categories of information collected, used, or disclosed;
• obtain a portable copy of certain information; or
• appeal or submit a complaint concerning a privacy request.

You may update certain account information through your online account. You may unsubscribe from marketing emails using the link provided in the message.

To submit another privacy request, email support@childcarecoach.com with the subject line “Privacy Request.” We may need to verify your identity and request before taking action. If an authorized agent submits a request for you, we may request proof of the agent’s authority and verification of your identity.

Child Care Coach will not discriminate against you for exercising a privacy right provided by applicable law.

Residents of certain U.S. states may have additional rights under applicable state privacy laws. The categories of personal information we may collect are described in Section 2, the purposes for collection and use are described in Section 3, and the categories of recipients are described in Section 6.

Child Care Coach does not sell personal information and does not share personal information for cross-context behavioral advertising. If our practices change, we will update this Privacy Policy and provide any choices or notices required by applicable law.

You may submit a request as described in Section 12. Certain state privacy laws apply only to businesses that meet specified thresholds. Child Care Coach will honor rights that apply to its activities and may choose to respond to other reasonable privacy requests voluntarily.

The Service may contain links to websites, resources, applications, or platforms operated by others. This Privacy Policy does not govern independent third-party services. Review the privacy policy of any third-party service you choose to use.

We may update this Privacy Policy as our practices, services, providers, or applicable requirements change. The revised policy will be posted on the Child Care Coach website with an updated date.

If a change materially affects how we use personal information already collected, we will provide additional notice or obtain consent when required.
